How does it work?

Before you contact any hotels, give us your travel dates, number of rooms you need and your preferred destination. We will contact every appropriate hotel in that area to get you the absolute lowest room rates, best comp policy and most flexible contract policies. We will email you a list of hotel options to choose from. For example, you will get rate options from Hilton, Sheraton, Marriott, Holiday Inn, Best Western, Comfort Suites, Hampton Inn, etc. Pick the option that works best for your group and we will have that hotel send you the proper contract for your review and signature. You never have to sign anything with us or pay us any money. The contract is between you and the hotel. You will send your rooming list and payment to the hotel like you normally would. You’re just using us for our relationships and buying power to negotiate the best rate, comps and contract policies for you.


Which hotels do you work with? Do you only work with certain hotels?

TravelAdvocates works with all the major hotel companies and individual hotels and resorts throughout the world. One call to us can get you rates at Marriott, Starwood, Hilton, Intercontinental, Best Western, Hyatt, Radisson, Wyndham, Choice and other major hotels, including smaller independently owned hotels. Whether you need a limited service Days Inn or a full service Sheraton, we can negotiate great rates for your group.


What do you charge for your service?

This is a complimentary, no-cost service to you. You never pay us anything. The hotels compensate us for sending them business. This way, we never have to charge our customers for our services. Because of our existing relationships, we often get better rates than if you were to call each hotel directly. Take advantage of us!


What types of groups do you help?

TravelAdvocates works with all different types and sizes of groups. Whether you are a tour group that needs 5 rooms or a corporate meeting planner that needs 5,000 rooms, meeting space and food & beverage functions, we can help. We work with tour operators, college teams, religious groups, direct sales companies, environmental and construction crews, medical meetings, flight crews, traveling performance groups and various other groups from all over the globe. We specialize in groups!


Can you help us set up a breakfast, dinner and private meeting space for my group?

TravelAdvocates is a full service hotel site selection firm. This means we can help you arrange for all types of meal functions, private meeting space, breakout rooms, A/V and any other special request your group may have.


Do you take away my travel rewards points if I use you?

Never. Any participating hotel that offers a travel rewards program (i.e., Marriott Rewards, Starwood Preferred Guest, Hilton Honors, etc.) will give YOU the points. We never take away any of your travel rewards points. We can communicate your rewards program number to the hotel to make sure your account is credited the points.


I already booked my group at a hotel and signed a contract. Can I still use you?

If your contract allows you to cancel without a penalty, we can help you find a better hotel in the same area at the same or lower rate than you contracted. We won’t contact the hotel you already contracted. You can cancel the hotel you contracted and contract the better hotel with the lower rate. This saves you money and gets your group into a better hotel. You have nothing to lose and a chance to save significantly.


I already contacted hotels but haven’t contracted anything. Can I still use you?

Yes. Before contacting any other hotels, contact us right away so we can ensure you’re getting the best rates, comps, upgrades and contract policies possible.


Hotels keep calling me to ask me to send them my groups. Can you help me?

Hotel sales people are trying to fill their rooms. They often “cold call” group leaders to persuade them to use their hotel. These calls can be time consuming and annoying. Some of our customers rely on us to field these calls for them which frees up their time. Feel free to tell any hotel that calls you that you use TravelAdvocates so if they want your group, they should just call us! We are always courteous to hotels and try to help them fill their rooms. If we can’t send them your group, chances are we have another group we can send them!


Can you set up site inspections for me?

Yes. We will arrange for all your hotel site inspections enabling you to see as many hotels as you’d like so you can make the most informed decision possible. If you’d like us to accompany you on the site visit, we can do that as well! We have been known to pick customers up at the airport or train station and personally escort them to each hotel. It is our pleasure to serve you.


Can you help me avoid nasty contract clauses like an attrition clause?

Yes. We have preferred contract clauses with many of the major hotels that allow for the utmost flexibility for our group planners. We never want our customers signing a contract with an attrition or cancelation clause that will possibly penalize them should they fall short on their room usage. We have an attorney on staff who can review your contract before you sign it. All of our staff is trained to negotiate the most flexible contract policies for you. And should you have already signed a contract with a penalty clause, contact us so we can possibly help you negotiate your way out of the penalty. We’ve been around the block – Take advantage of us!


Can you help me charter a bus?

Yes. We can get you the absolute best rates for motor coach charters, van rentals and any other ground transportation requests anywhere in the world. There is never a cost for this service.


Can you help me charter a plane?

Yes. We can get you the absolute best rates for any type of private or non-private air transportation anywhere in the world. There is never a cost for this service.


Can you help me with a cruise ship?

Yes. We have amazing relationships with the major cruise companies and several private yacht companies that can host your group. Contact us for more details.


How long have you been in business?

TravelAdvocates was incorporated in 2005 but our staff has been in the travel industry much longer than we wish to admit to! We are happy to provide you references from our current customers and hotel partners so you can get a better sense of our professional reputation.
